Seat counts live in Excel

Three people update the same departure sheet. One sells the last two seats twice, another holds seats for an agent who never confirms.

Prices change with group size

A 7-night package has one price for 2 to 4 pax, another for 5 to 8, and a hand-typed discount on top. The margin is whatever is left.

The rate sheet is a PDF from March

Your team and your agents quote from a rate sheet sent in March. The hotel rate changed in June and the season changed in October. Nobody notices until the supplier invoice arrives.

TravelXConnect puts departures, pricing slabs, component costs and B2B enquiries in one system, so every seat is counted once and every package shows its margin.

How it works for tour operators

Built around the way tour operators actually sell.

Departures & inventory

Fixed departure and seat inventory management

Set up a departure series once with dates, seats and the supplier services behind it. Every booking takes seats from the same count, so overselling stops.

  • Departures with total, available and sold-out status in one view
  • Passenger manifest and rooming list per departure
  • Custom tours and fixed departures managed side by side

Pricing & margins

Two ways to price a package: slabs or costs

Package-priced: set per-person slabs by occupancy, group size and season, and the quote picks the right one. Component-priced: list every service with its supplier cost, add your markup, and the price is built from the costs with margin per line.

  • Slabs by twin, single, triple, child and infant occupancy, with pax ranges and season validity
  • Component cost sheet with supplier cost, sell price and margin per service
  • Overall markup as a percentage or flat amount, or type the target total and let it back-calculate

B2B enquiries & suppliers

Agent enquiries and supplier costs on the same file

Mark an enquiry as B2B with the agent's company and it runs through the same quote, booking and passenger flow as a direct client. Supplier costs sit on the file, so what you owe is known before departure.

  • B2B enquiries tagged to the agent company, filterable and reportable
  • Hotel contracts and rates stored once and reused on every quote
  • Supplier costs, passengers and payments on the booking

FAQ

Questions tour operators ask before the demo.

Can I handle enquiries from B2B agents and partners?
Yes. An enquiry can be marked as B2B with the agent company's name, so agent business sits in the same pipeline as direct enquiries and you can filter and report on it by agent. The quote is priced like any other, with the markup you choose for that deal.
Does it track seat inventory for fixed departures?
Yes. Each fixed departure carries total and available seats, bookings draw from that count, and a departure shows as sold out when the seats are gone.
How is margin calculated on a group departure?
On a component-priced package the cost sheet lists every hotel, vehicle, guide and activity with its supplier cost and sell price, so margin is shown per line, in total and per person. On a package-priced series the slab price is compared with the same supplier costs on the quotation's cost summary.
Can I manage passenger details per departure?
Yes. Traveller details are recorded on each booking, so the passenger list for a departure comes from the bookings rather than being typed again.
